PRIVACY POLICY FOR SERVICE PORTAL AND OPERATION CONTROL CENTER
This privacy policy governs your use of the software application Service Portal and Operation Control Centre (‘Application’) for mobile devices and desktop created by Heinen & Hopman Engineering BV. The purpose of the Application is to keep track of Heinen & Hopman system documentation, request quotes on Heinen & Hopman spare parts, request help from Heinen & Hopman experts, and analyse your Heinen & Hopman system.

What information does the Application obtain and how is it used?

User-provided information
The Application obtains the information you provide when you download and register it. While registration with us is optional, it is required for the use of some of the features offered by the Application. Registering with us to use the Application generally involves providing (a) your name, email address, IMO number and password; (b) transaction-related information, such as when you respond to any offers, or download or use applications from us; (c) information you provide us with when you contact us for help; and (d) information you enter into our system when using the Application, such as contact information and project management information. We may also occasionally use the details provided to share important information, required notices and marketing promotions.

Automatically collected information
In addition, the Application may collect certain information automatically, including, but not limited to, the type of mobile device you use, the unique device ID of your mobile device, the IP address of your mobile device, your mobile operating system, the type of mobile internet browsers you use, and information about the way you use the Application.

Does the Application note the precise real-time location of the device?
This Application does not collect precise information about the location of your mobile device.

Do third parties see and/or have access to information obtained by the Application?
Only aggregated, anonymised data is periodically transmitted to external services to help us improve the Application and our service. We will share your information with third parties only in the ways that are described in this privacy statement. We may disclose user-provided and automatically collected information:
• when required by law, such as to comply with a subpoena or similar legal process;
• when we believe in good faith that disclosure is necessary to protect our rights, protect your safety or the safety of others, investigate fraud, or respond to a government request;
• to trusted service providers who work on our behalf, do not make independent use of the information we disclose to them, and have agreed to adhere to the rules set forth in this privacy statement;
• if Heinen & Hopman Engineering BV is involved in a merger, acquisition or sale of all or a portion of its assets, you will be notified via email and/or a prominent notice on our website of any changes in the ownership or uses of your information, as well as any choices you may have regarding the situation.

What are my opt-out rights?
You can easily stop the Application from collecting information by uninstalling it. To do so, you can use the standard uninstall process on your mobile device or the mobile application marketplace or network. You can also request to opt-out by sending an email to pr@heinenhopman.com.

Data retention policy, managing your information
We will retain user-provided data for as long as you use the Application and for a reasonable period thereafter. We will retain automatically collected information for up to 24 months and may thereafter store it in aggregate form. If you would like us to delete user-provided data that you have provided via the Application, please contact us via pr@heinenhopman.com and we will respond within a reasonable timeframe. Please note that some or all of the user-provided data may be required in order for the Application to function properly.

Security
We take care to protect the confidentiality of your information. We use physical, electronic and procedural safeguards to protect the information we process and maintain. For example, we limit access to this information to authorised employees and contractors who need it in order to operate, develop or improve the Application. While the Internet of things and big data analytics are giving us new possibilities on how to monitor our system, they can also leave us vulnerable. In a world where information is power and cyberattacks are increasingly common, one has to be continuously aware of the cybersecurity risks.

While creating the Application, our first priority is to defend your data and protect it at all costs. When a connection with a vessel system is needed, we make use of the existing secure connection of the vessel itself. Everything happens in the guarded cocoon of the vessel network.

Data is logged in a database on the premises. We make use of an MB Connect Line industrial router to open a protected VPN gateway to an onshore data warehouse. This router is designed specifically for industrial use, and enables a secure and reliable connection via internet.

The network is established by a cloud-based VPN service which uses certificates for the authenticating process. Certificates on both side of the line need to match before a connection can be made, preventing unauthorised access. Our philosophy is to use proven, certified and tested services and products where security is the main priority.

Changes
This Privacy Policy may be updated from time to time for a range of reasons. We will notify you of any changes to our Privacy Policy by posting the new Privacy Policy here and informing you via email or app message. You are advised to consult this Privacy Policy regularly for any changes, as continued use is deemed to constitute approval of all changes.

Your consent
By using the Application, you are consenting to us processing your information as set forth in this Privacy Policy now and as amended by us. In this context, ‘processing’ means using cookies on a computer/handheld device or using or managing information in any way, including, but not limited to, collecting, storing, deleting, using, combining and disclosing information, all of which activities will take place in the Netherlands. If you reside outside the Netherlands, your information will be transferred, processed and stored there under Dutch privacy standards.
